1. Sales Co-ordinator(Inventory & Dispatch) Responsibility: Requesting quotation from Local and Overseas Suppliers. Prepare Purchase order and sent to Suppliers. Preparing quotation with coordinating sales persons/MD for local customers and send to customers. Follow up with customers for the advance payment and out standings balance. After advance payment received from customer checking availability of material Ask to supplier for earliest delivery as per the customer’s schedule. Co-ordination for the forecast from customers monthly basis. Preparing PO planning sheet by considering customer forecast and actual sales. Check with customer for their schedules and dispatch material accordingly. Responsible for documents of dispatch with all supporting. Responsible for material dispatch in PAN India from all locations. Direct co-ordination with customer for solving issues related to dispatch & material. In case of damage prepare debit note to responsible person and credit note to customer. In case of rejection of goods from customer we prepare credit note to customer, prepare e-way bill against the credit note and get material back to warehouse. Preparing documents against domestic LC. Preparing document arrival notice for import shipment for DAA payments. Key responsibility of Inventory Management, Inventory reconciliation & Warehousing Co- ordination. Monthly Inventory Reconciliation for each warehouse by considering each grade. Reconciliation of all grades and prepare list of damage and rejection of goods. Co-ordinating with Insurance company for claiming against the damage goods. Making monthly sales data report & customer wise report based on actual sale and profit. Follow up with suppliers and transporter for getting material in warehouse. 2. Import & Export Responsibility : Responsible for Custom Clearance, Import Documentation & Handling all shipments. Follow up with CHA to file Custom Duty on time to avoid any custom penalty and arrange to collect the delivery orders from shipping line and freight forwarders. Check calculation of Custom Duty in Import checklist of Bill of Entry. Co-ordination with Transporter and Warehouse Executive for getting material in warehouse from port. Provide all details for export to shipping and courier company like MSDS, Quantity, Inco terms, Destination etc. Request for quotation to shipping and courier company for export of material from India to Japan. Prepare Pre & Post Shipment Documentation as per PO i.e., Invoice, packing list, Non-DG. Check LUT Bond with accounts department for duty exemption.
